How to Schedule a Sales Appointment Using the Oplead qualification module?

If you work in the Sales Administration department, you probably need to schedule appointments for your sales representatives. With Oplead, this can be done in just a few clicks, while avoiding double entries.

Here’s how it works:

  1. Access the relevant contact in the qualification module, for example after a phone conversation.
  2. Click on “Transfer Contact,” then select the sales representative to whom you wish to assign this lead.
  3. Click on “Schedule an Appointment.”
  4. Enter the necessary details for the appointment: date and time.
  5. You can select up to three options: send a reminder SMS 24 hours before the appointment, send a confirmation SMS, and/or send a confirmation email.

Time-saving automations

At this stage, several actions are automatically managed:

  • A reminder SMS is scheduled to be sent to the contact 24 hours before the appointment. Neither you nor the sales representative needs to do this manually. The message is sent under your company’s name, as if written directly by the sales rep.
  • A confirmation email and SMS are also sent. They are personalized with the sales rep’s signature, contact details, and an appointment summary.

Simultaneously:

  • The appointment is entered directly into the concerned sales rep’s Outlook or Gmail calendar (be sure to connect calendars beforehand!).
  • The sales rep also receives an SMS notifying them that a new contact has been assigned, with access to lead information via a link.
  • If you use a quoting or invoicing software, the appointment can also be synchronized automatically in that system.

Summary

This system eliminates the need to:

  • Manually record the appointment in multiple tools;
  • Contact the customer again to confirm the appointment;
  • Remind the sales representative to send a reminder SMS.

Everything is automated with a single click.

Once the appointment is confirmed, the contact is removed from the qualification module and moves to the monitoring module, assigned to the right sales representative.
